Job Description: • The Administrative Assistant primarily responsible for delivering organizational support, planning and execution to ensure both leaders can effectively drive business strategy for Acerta. • Responsible for carring out variety of administrative tasks for the Leader’s including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing confidential correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. • Serves as a liaison to the executive and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. • The Administrative Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and patient oriented. • This role has a key part to play in driving our corporate culture. Responsibilities: Senior Management Liaison: • Participates as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings • Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings. Meetings: • Facilitates cross-divisional coordination of travel and outreach plans Communications, Partnerships, and Outreach: • Edits and completes first drafts for written communications to external stakeholders Strategic Initiatives: • Works with the Strategic Initiatives team in coordinating the Leader’s outreach activities. • Follows up on contacts made by the Leader’s and supports the cultivation of ongoing Relationships New Employees/Entry preparation: • Organize interviews • Liaise with Training Department to arrange welcoming and induction package • Liaise with IT in order to organize desk, hardware, software etc. • Liaise with the responsible Manager in order to find out special needs. • Prepare meeting schedule of the first working days Strongly Desired: • Bachelor degree (BA) with Five or more years of secretarial and administrative experience working with high level managers/officers or executives in complex environments. Lead or supervisory experience preferred • Experience as administrative assistant in an international environment and in the pharmaceutical company • Solid written and verbal communication skills • Excellent computer skills (MS office suite software), 10-key, telephone • Ability to make decisions and work independently, while adhering to pre-established guidelines • High attention to detail but able to work within the “big picture” • Deep understanding of confidentiality requirements and proven ability to manage sensitive information.
