Job Description

This is a part-time position working 20 hours a week

  • This role will provide high-level administrative support to the Respiratory Leadership team and the department as required.
  • Managing the administration and coordination of internal and external meetings and interacting with all levels of management throughout the organization.

Administrative duties include:

  • Extensive calendar management, scheduling appointments, meeting preparation
  • Schedule candidate interviews /Speakers / Seminars
  • Onboard colleagues
  • Be a point of contact for visiting colleagues
  • Make both global and domestic travel arrangements
  • Process complex expense reports ensuring adherence to company policies
  • Coordinate complex internal/ external meetings, videos, skype and teleconference calls
  • Composing minutes, agendas and correspondence
  • Maintain departmental files and proper submission of approval forms
  • Be a contributing part of a global administrative team to ensure alignment, communication and teamwork
  • Provide coverage for the operations person when needed
  • Various projects as required; e.g. operational duties, ordering supplies, and lunches
  • SharePoint experience is desired.
  • Technically savvy

Skills:

  • 8+ years of experience in providing administrative professional support to executive-level managers, with preference for experience in a pharmaceutical company.
  • Friendly interpersonal and communication skills including a sound command of verbal and written English, particularly an ability to write and to proofread email messages and other documents for grammar, spelling, and stylistic mistakes.
  • Ability to discretely handle and not to compromise confidential and sensitive information, including personnel issues, trade secrets, sensitive negotiations with external parties, patient information, and legal documents.
  • Proficiency with Word, Outlook, Excel, PowerPoint, and SharePoint, and a general facility for information technology and for learning new software.
  • Strong organizational and time-management skills, with an attention to detail.
  • Sense of humor, a flexible nature, a respect for the diversity inherent in colleagues, visitors, and patients, and an eagerness to learn new things.
  • Ability to handle the stress involved in managing complicated schedules for an executive in a complex environment with frequently required changes and adjustments, including the ability to prioritize and handle multiple tasks in a timely fashion.

Education:

  • Associate's Degree (Community College, MBO)
