Job Description

Position Purpose

Provides centralized assistance to a group of Sourcing Engagement Leads (SEL), which include, but are not limited to the following activities: under the SEL’s direction, general support of the customer business line; facilitation, tracking and monitoring of sourcing and contracts process-related activities; data entry into and data maintenance of contracts systems; maintenance of contracts-related files; perform quality checks on contracts and related systems; interface with other Business Operations roles, as well as other cross-functional roles involved in the sourcing process; and produce various reports, as requested.

Primary Responsibilities

1. SEL Support: Support the SELs in activities that include, but are not limited to, the following:

  • Coordination of the sourcing and contracting process
  • Support the SEL’s RFP data collection and analytics needs
  • Support consolidation of vendor data across WSR lines, including information on existing and emerging vendor capabilities
  • Support SELs in various WSR customer-related sourcing and contracting activities (e.g., Purchase Order creation/monitoring; invoice resolution; process tracking; etc.)
2. Sourcing and Contracts Administration
  • Participate in the creation and implementation of end-to-end processes and procedures.
  • Interface with SELs, Procurement, and other functional lines in ongoing sourcing and contracts administration and maintenance.
  • Create and generate reports that SELs will utilize in decision making and analysis of trends.
  • Provides system administration for the group’s Share Point site:
    • Ensures data integrity
    • Supports reporting
    • Assists local users with local system issues as needed
3.Quality Checks
  • Responsible for performing quality checks that will ensure sourcing, contracts, and other associated documentation are in compliance with clients policies/procedures, guidelines, and internal and external regulations.
  • Responsible for ensuring all sourcing & contracting records and documents are maintained in an orderly and organized manner.
4. Continuous Improvement: As directed by the Sourcing Management Head and/or Sourcing Management Head’s designee:
  • Assist the team in identifying and implementing sourcing- and contracts-administration-related continuous improvement opportunities.
  • Participate in and support other continuous improvement initiatives led by other members of the Sourcing Management Group.
  • Support the Sourcing team in the facilitation of sourcing- and contract-related training activities (e.g., preparation of materials, meeting logistics and support, communications, etc.)

Technical Skill Requirements

  • Data Entry
    • Experience and/or understanding of basic contracting and financial systems
    • Experience with ARIBA, SharePoint, Microsoft Excel, Word, and Outlook
  • Project and process management
  • Finance / budgeting
  • Negotiating and contracting skills
